Remote Onboarding

Remote onboarding is similar to the traditional process of a face-to-face process, yet all activities pertaining to employing new recruits happens virtually online. As per (Mer, 2023) It takes serious rethinking to make the remote onboarding process enjoyable. Because of the shift to a remote/virtual working environment caused by the pandemic, the traditional method of onboarding has been altered; the onboarding procedure for new hires must also be accommodated in the new environment. In order to have an effective remote onboarding process, HR need to establish a clear and concise plan, which usually includes

  • Feel welcome and introduction of new employee to the team, establish methods of communication starting from very first day etc.
  • Virtual orientation for induction program and ensure all paperwork are completed diligently.
  • Regular reporting to the direct manager on the tasks assigned.
  • Employee surveys and feedback.

Implementing an effective remote onboarding program is the key to achieving:

  •        Retention
  •        Engagement (from the very beginning)
  •        Loyalty

The remote onboarding process is the first step in building a relationship with a new employee. Remote onboarding is essential, especially for individuals who reside across several cities or states. Long-term employee engagement, retention, and overall job satisfaction can all be increased by a company that thoughtfully onboards new hires and invests in their well-being. Care for an employee's needs from the start can have a significant impact, laying the groundwork for a successful business and a vibrant, attractive company culture. Onboarding and company culture go hand in hand.

Remote Onboarding 10 Step Checklist

1. Send IT/relevant equipment to new employee.

This is an optional step since remote employees often bring their own laptops, mouse, and headsets for remote onboarding. However, if your organization has hardware and computers that are required for each employee to use, providing them with this equipment before their first day should be a part of your onboarding process.

Request relevant teams to make time in their schedule to help with the setup process.

2.    Help new employee to complete paperwork.

Documentation such as contracts and other paperwork are essential to any employee onboarding procedure. Nevertheless, some team members might not have scanning equipment when you're onboarding remote workers. Therefore, request that they use an e-signature tool or acknowledge the contract via email to streamline the employee onboarding process.

3.    Send remote employee handbooks.

Sending employee handbooks is one of the most crucial parts of remote onboarding since it makes clear the expectations for your new hires. The workplace policies, company culture, and basics of employment should all be covered in your handbook. The handbook should be brief and have been reviewed by senior HR specialists, according to the HR team.

Because a well-written handbook makes job descriptions, advancement opportunities, and benefits more clear to new hires, it enhances the onboarding process and increases retention rates.

A policy for remote work should be included in your employee handbook. A policy on remote work provides additional clarity on what your company expects from a remote worker. Although the offer letter may contain information about remote work, it is preferable to have separate onboarding documents that are far more detailed.

4.    Confirm the remote employee has installed required software.

The team collaboration tools and virtual office software that the remote team requires for task completion and communication should be part of your onboarding plan. Prior to each remote team member's start date, ensure they have all installed the necessary software. Giving them onboarding materials, such as instructions on how to install and operate the software for their remote work, is also important.

Apart from employee onboarding software, you could also have software for further involving and communication:

  • Video conferencing
  • Document collaboration
  • Group messaging
  • Project management

Moreover, need a powerful employee productivity management tool to give remote employees a way to avoid distractions and manage their workflow.

However, remember to specify which software the business uses in any onboarding documents or on remote work policy. In this manner, the new hires will be aware of how they will work with other team members and be held accountable for their work.

5.    Welcome and introduce new employee to the company.

This is a step in the remote onboarding process that has to be well thought through and impactful — especially because to execute the whole orientation process within a remote environment.

An organized orientation program as part of the remote onboarding process will make new hires feel informed, welcomed, and a part of your team. As part of the onboarding process, you can provide stationery and branded t-shirts to each virtual employee if feasible. Send them a personalized welcome email, letter, or video from the team leader or CEO of the company on the first day of work.

Introducing the new hire to the team as a whole is the next step. This can be accomplished by informing the business that a new team member has joined so that welcome/greeting cards can be sent. To make the onboarding process easier for the new remote worker, it's a good idea to assign them an onboarding buddy. In this manner, the onboarding buddy can assist them throughout the entire onboarding process, saving them from having to figure things out on their own. Additionally, arrange team video calls so your remote worker gets familiar with their team and all of the other employees they will be working with beforehand.

6.    Train the remote team

Your remote team should be trained in creative ways as part of your remote onboarding program. Train your new remote worker by utilizing the screen-sharing feature of video conferencing tools. Make remote workers feel as though they are seated in a real room with other new hires by using virtual reality to enhance employee engagement during remote onboarding.

Moreover, interactive training sessions with games and tests can be held to enhance the work experience for staff members.

Subsequently, provide comprehensive materials to each staff member so they are acquainted with the company's offerings. Additionally, you should send screen recordings outlining how you want projects completed or videos outlining the features of the products.

Ask each new employee if they have any questions or concerns after the training session is over.

7.    Set goals and expectations.

Throughout the remote onboarding process, you won't be able to check in on your new employees in person or see them at their desk, so you need to be very clear about what you expect from them.

You can see how well a remote worker performs and the outcomes they produce.

To support employee performance, you should;

  • Give the worker a task they can begin working on.
  • Exchange a calendar or to-do list.
  • Talk about your long- and short-term objectives.
  • Set up management or team meetings once a week to talk about projects and any issues.

8.    Remote employee team building

Plan online team building exercises for your remote team to maintain employee engagement long after the onboarding process. To achieve this, form a volunteer committee dedicated to remote team building and ensure that events are scheduled. You can choose from a great selection of games and activities at Outback.

The effectiveness of the team-building activities for each new remote employee can also be monitored by the volunteer team.

9.    Regular check-in calls

Establish a communication schedule with the new employee for the first week, first month, and first quarter of their employment in your remote onboarding checklist. In this manner, you can make sure they're adjusting to their new position and producing quality work.

10. Organize in-person meeting if feasible

While a remote team that operates across multiple countries cannot accomplish this, if your remote worker is located close to your office, you may schedule an in-person meeting at some point during the onboarding process.

Alternatively, yearly company outings and retreats could be chosen. This will not only help your remote team put faces to names, but it will also strengthen the bonds and unity of the team.

Onboarding remote employees doesn't have to be challenging. You can inform your employee about the culture of your company while maintaining engagement with the help of the appropriate remote employee onboarding checklist. Create the best remote employee onboarding process for your needs by using the 10-step checklist we covered here. Every remote worker will have an amazing onboarding experience with your organization after that is completed.

While remote onboarding is ideal and achievable for organizations, it does come with its challenges for both the company and the employee:

  • A sense of belonging will be limited for employees being disconnected with the team.
  • Lack of support.
  • Company systems not being available or restricted.

  1. Onboarding is the official procedure of integrating new team members into an organization. Remote onboarding is done via technology without any face-to-face interactions. When hiring to fully remoted organization, a cohesive onboarding process is especially significant as not only to give new hires the information they need to do their jobs, but as well as to empower them to think remotely (Ranaraja, 2013).

  3. Remote onboarding once it is complete. Are these employees expected to work all 5 days remotely or is it a hybrid method. If it is all 5 days there would be a disconnect with the employee as they haven't met their managers and peers in person and it becomes extremely boring as all they would be required to do is work and there needs to be constant checking to see if the employee is productive and if the employee can work without being micro managed.

  4. This could be onboarding and even with work from home if required Reza
Additionally, as I mentioned in the aforementioned checklist, remote employee team building and "in-person meeting" organization could have more interaction without being detached
