Hybrid / Work from home (WFH) / Remote Setting

Since the COVID 19 pandemic, most organizations have adopted a WFH / remote setup for all employees (except essential services) to continue to operate without any hindrances. This setup reduced operational costs for organizations and increased productivity among employees.

With the post pandemic setting in, companies moved from a WFH/remote model to a hybrid model, where employees are asked to come in physically for 2 or 3 days a week, depending on the scope of work and team structure. Some companies still practice the fully WFH / Remote setup as it’s beneficial for the company in many ways.

The term "hybrid" is central to the investigation because it describes a situation in which multiple co-located participants collaborate with one or more remote participants in a coordinated effort. Even though it has some loose definitions, compared to other terms used, like "online," "distributed," or "partially distributed," it may at least have a stronger meaning of the uneven group distribution. (Neumayr, 2021)

It's how they get to know and inspire their staff members, track engagement in real time, and provide them with strategic context and purpose. Some leaders will benefit from training and new daily routines that help them improve their skills in online communication, coaching, engagement, and management of remote and hybrid teams. (Hilberath, Hybrid work is the new remote work, 2020)

Having said that, there are pros and cons of a Hybrid / Remote setup:

Advantages:

  • Companies can hire global talent across the world, which leads to diversity and unique skills accumulating to the company.
  • Increase in productivity where employees are comfortable working, whether it be at their house or the bustling office environment
  • Decrease in overheads for companies. Fewer employees in office at any given time means less office space, electricity, and other expenses
  • Companies can accommodate employees who are differently abled by giving them the option to WFH

As per (Tonnessen, 2023) regardless of discipline or department, some employees work virtually exclusively from home, while others do so only rarely and for very specific, practical reasons. There are no set rules at Company A; instead, work arrangements are flexible. This takes the form of acknowledged individual freedom of choice and a common practical understanding of various self-selected hybrid models that are relevant to various work tasks and life circumstances. Many employees find that the hybrid work environment is easier to use and more productive for follow-up tasks. It is common practice to work from home two days a week on average. There's also a common belief that creative processes benefit from a combination of remote and in-person work. Individual experiences, however, differ greatly, and many people associate their preferences with creativity.

Despite these pros, there are some drawbacks to consider…

Disadvantages:

  • Lesser or no employee engagement, meaning less collaboration between team members. This has its downsides for companies in the long run.
  • If the company hires global talent, time difference could be a challenge for collaboration.
  • Extra effort and procedures need to be implemented for communication since most or all employees are isolated. Proper monitoring and control mechanisms need to be implemented as well, which could make some employees uncomfortable.

As per (Tnnessen, 2023) the results highlight the value of knowledge sharing and social interaction for workplace creativity. Challenges arising from digital communication barriers and the intricacies involved in establishing social ties and trust are recognized in remote work environments.

How to implement a hybrid work from home model effectively

1) Adapt job advantages:

A hybrid work-from-home model can be made more effective by modifying the advantages of an in-person office to benefit both kinds of team members. For example, a team lead who used to organize weekly lunches for the team members could now send gift cards for food delivery or care packages to hybrid members. They could also organize an online lunch or quiz session that in-person staff members could attend from their offices or cubicles. Whether team members are in the office or working from home, you can make them feel valued by altering the benefits for the whole group.

2) Advance a schedule for in-person and remote work:

Modifying the team's work schedule can improve productivity when members are located in different time zones or states. If team members are spread out across different time zones, you could propose that they work during critical hours in the middle of the business day. In this way, it can be made sure that everyone works simultaneously on multiple projects or attends meetings for a number of hours during the day. It can be beneficial for team leaders to schedule social events and training sessions when members of hybrid teams work together on the same day each week.

3) Use communication platforms:

Communication platforms have the capability to facilitate text, voice, and video communication among team members within a single application. It can be simpler for team members to organize meetings, ask questions, and work together on projects when they use a program that provides a range of communication channels. It may also promote a feeling of community among remote team members by providing a platform for photo sharing, interest discussions, and virtual event planning.

4) Create communication guidelines:

When team members are working remotely, setting communication guidelines can help ensure that everyone is on the same page regarding email or chat response times. For instance, you could mandate that team members reply to any internal emails within a single workday or to any chat messages within a three-hour window. One possible solution could be to create a system that enables team members to choose the urgency of their outgoing emails or chat messages, or to specify a specific time frame for response. By using these guidelines, team members can more effectively prioritize their communication tasks and increase cooperation.

5) Define outcomes:

Educating team members on their roles and how to assess performance in their roles is one way to ensure that a hybrid work-from-home model is effective. Can make a task list with duties and expected results for a team or individual, and communicate the expectations to both in-person and remote employees. You can also create a daily or weekly task requirement. If your hybrid team members want to track their individual and team goals, think about utilizing task management software.

 6) Meet with individual team members regularly.

Attending private training sessions and conferences with team members can assist you in keeping an eye on their progress and making sure they're fulfilling your expectations. You may also use it as an opportunity to get their opinion on the hybrid model the team has chosen. To ensure that every team member has the same experience, you could use video conferencing software for all of your meetings with team members—remote or in the office. You can share project examples and training materials in your meetings by using certain video conferencing software that lets you add links and resources during a meeting.

8) Organize online gatherings.

Celebrating life events such as birthdays, professional anniversaries, and completed projects virtually may develop relationships among hybrid team members and improve morale at work. Weekly breakfast meetings could be organized so that team members can have a relaxed conversation about their personal lives and hobbies before getting to work on tasks. For more formal gatherings, playing an online game, or using a trivial service.

With a little forethought and preparation, it is entirely possible to make a WFH hybrid model work for employees and contribute to the enhanced profitability and efficiency of the business. It will undoubtedly motivate employees to make superior advancements if a work environment is created where they feel motivated and connected, despite they are located far apart from one another.

New Task Schedules for a Hybrid Future

 Leadership, culture, and purpose:

  • Re-examine and reframe the objective to inspire the business.
  • Clearly articulate and foster the culture required to reaffirm objectives, spark enthusiasm, and enhance performance.
  • Enhance your leadership abilities to shape actions that serve a purpose and create an atmosphere within the company.

Roles and Organization:

  • Adjust roles and organizational structures to guarantee speed, empowerment, and focus in addition to genuine concern for clients and employees.
  • Align around target customer experiences and make use of support platforms to increase speed and scale.
  • To reduce the amount of real estate required, consider location when redesigning rather than just concentrating on "boxes and lines".

Methods of working:

  • Establish new agile team norms and procedures to allow each team member to collaborate as effectively as possible
  • Engage with the employee experience by surveying your staff about how, when, and where they complete their work.

 Spaces and Systems

  • Invest in digital infrastructure and smart workspace technologies to support the transformation
  • rethink workspaces around employee needs and activities to support hybrid work models.

As per (Hilberath, 2020) organizations were forced to work remotely during the pandemic and had to quickly figure out what worked and what didn't. They made some experiments. They gained knowledge. Without committing to a significant new program or manifesto, they became more flexible. Because the crisis was more complex and demanding than could be handled by traditional hierarchies, many established agile principles of empowered, cross-functional teams, rapid decision making, and experimentation.

  1. Agreed and its a timely topic to discuss, As per (Bloom, 2022) the hybrid WFH strategy offers four advantages. First it describes that employees save approximately 70 minutes a day on home days by not having to travel and get ready for work. Also WFH is more preferable for solitary pursuits like writing or coding. Moreover, WFH permits more time-based independence as it allows flexibility for the employees to take a break to go to the doctor, work out, or pick up their kids from school. Finally, if organizations alternate the days that teams to work from home, hybrid WFH can further save expenses. Contrary, some believe that hybrid work-from-home arrangements are difficult to implement, incur transition expenses when transferring from entirely in-person to totally remote work, and negatively impact employee productivity and creativity.
